Job Title: Administrative Officer
Location: Lekki, Lagos
Employment Type: Full-time
Job Responsibilities
Vendor Management and Communications:
Develop and maintain relationships with vendors, contractors, and service providers to ensure timely and cost-effective delivery of services.
Coordinate and manage vendor activities, including scheduling, performance monitoring, and issue resolution.
Negotiate contracts, agreements, and pricing with vendors to achieve cost savings and optimize service levels.
Communicate effectively with vendors, stakeholders, and team members to ensure seamless facility operations.
Facility and Assets Management:
Oversee the maintenance, repair, and operation of facility systems, including HVAC, electrical, plumbing, and mechanical systems.
Develop and implement preventive maintenance programs to minimize downtime and extend asset life.
Manage facility projects, including renovations, upgrades, and new installations.
Ensure compliance with safety regulations, building codes, and industry standards.
Procurement Responsibilities:
Source and procure goods, services, and equipment necessary for facility operations, maintenance, and projects.
Develop and manage procurement budgets, ensuring cost-effectiveness and value for money.
Collaborate with internal stakeholders to identify procurement needs and develop specifications.
Negotiate prices, terms, and conditions with suppliers to achieve best value.
Additional Responsibilities:
Develop and manage facility budgets, including capital and operational expenditures.
Analyze facility performance data to identify areas for improvement and implement cost-saving initiatives.
Collaborate with internal teams, including operations, maintenance, and engineering, to ensure alignment and effective facility support.
Ensure compliance with company policies, procedures, and regulatory requirements.
Develop and implement emergency response plans and conduct regular drills to ensure facility readiness.
Perform additional administrative and executive support responsibilities to members of the management.
Job Qualifications
Bachelor's degree in Business Administration, Management Studies, Facilities Management, or a related technical field.
Minimum 2 years of experience in facility management, administration, or a related technical field.
Proven experience in vendor management, facility operations, and procurement.
Job Requirements:
Strong technical knowledge of facility systems, including HVAC, electrical, plumbing, and mechanical systems.
Excellent communication, negotiation, and project management skills.
Ability to work independently and as part of a team.
Strong analytical and problem-solving skills.
Proficiency in computer-aided facility management (CAFM) software and other relevant tools is an added advantage.
Certification in facility management (e.g., CFM, FMP) or a related field is an asset.
