Medecins du Monde (MdM) is an international humanitarian organization whose mission is to provide medical care for the most vulnerable populations, the world over, including France. It seeks to stimulate voluntary commitment from doctors, other health care providers, and from those whose expertise in other fields is needed for its activities, to enlist all competent support required for the achievement of its projects, and to seek at all times to encourage close working relationships with populations in its care. MdM operating in Nigeria, Borno state since October 2016.
We are recruiting to fill the position below:
Job Title: HR Assistant
Location: Abuja (FCT)
Employment Type: Full-time
Main Responsibilities
HR Support:
Manage staff leave requests, track attendance, and maintain accurate records.
Ensure timely submission of time sheets, overtime, salary advance and HR administrative processing ang filing.
Assist in updating national staff HR records and maintain soft and hard copies in official files.
Provide guidance to employees on MdM policies and procedures to ensure compliance.
Facilitate internal and external audits and reviews to ensure compliance with MdM procedures and documentation.
Assist in facilitating recruitment procedures.
Coordinate onboarding and offboarding processes for new employees.
Assist in organizing internal and external training programs.
Coordinate with Field HR/Admin to ensure timely distribution of timesheets, payslips, and contracts to field bases.
Upload documents to SharePoint and maintain accurate filing systems.
Create and maintain databases to support HR activities.
Ensure important communications are posted on the board.
Administration
Coordinate with HR Officer to track all visas expiry dates and extensions.
Assist in tracking all incoming and visiting expats movements for NIS reporting.
Liaise with logistics to ensure that the guesthouse is running effectively.
Arrange the guesthouse or hotel rooms to accommodation all visitors as needed.
Other:
Assist in event management: Arrange meetings, seminars, or workshops.
Perform administrative tasks such as filing, and scanning of documents.
Comply with MdM policies and practice with respect to code of conduct, safety and security and other relevant policies and procedures.
This role will supervise Cook/Cleaners (Guesthouse & Office) with oversight of the Human Resources Officer.
He/she works under the supervision of the Human Resources Officer.
Required Qualification
B.Sc in Business Admin, Human Resources Management, or similar education.
Minimum of 2 years of professional experience in HR
Experience of 1 year minimum in a similar position with an INGO is required (with MDM is an asset).
Experience in conflict or difficult contexts a distinct asset.
Excellent computer skills in Excel particularly (database management)
Languages:
English: mandatory
Hausa and Kanuri: recommended.
French: an asset.
Salary
N200,000 - N300,000 Monthly.

Note
Because of the emergency relief nature of MDM’s work, working hours may be irregular and employees are expected to be flexible in their approach to working hours under emergency conditions.
The employee shall respect Médecins du Monde - France’s schedule and Terms and Conditions of Engagement for National Staff and is expected to be available anytime in order to answer to an emergency situation and be flexible and available beyond normal working hours if requested.
