Under the supervision of the Operations Officer, the Operations Associate is responsible for providing critical support across a range of operational functions within the Kano Field Office.
This role ensures the efficient and effective management of financial transactions, and operational systems.
The Operations Associate must demonstrate a strong understanding of UNICEF's financial and operational processes, ensuring compliance with UNICEF's policies and regulations.
The role requires a proactive and organized individual who can work independently, research and adapt to irregular cases, and recommend improvements to enhance process delivery and design.
By supporting both administrative and operational functions, the Operations Associate plays a vital role in maintaining the office's efficiency and effectiveness.
Major Responsibilities
Key Functions / Accountabilities:
Support to Financial Control:
Review and submit payment to GSSC for utility payments, supplies, Purchase Orders (POs), advances, and other payments. Ensure all requests include the necessary supporting documents, are certified by the staff responsible, and are coded correctly.
Managing the transition of UNICEF's funding sources, ensuring compliance with policies, and maintaining clear communication with stakeholders.
Monitor and advise budget Operations Manger on the financial status of operational projects, identifying potential under- and over-expenditures, and recommend reallocation to optimize available funds.
Create financial commitments (Service requisitions and funds commitments) in alignment with the section’s approved budgets.
Contracting of Service Providers:
Working closely with the supply associate, facilitate the processing of contracts for external parties, ensuring timely completion of contracting actions as per the UNICEF procurement rules and regulations.
Assist in monitoring Operations PO status and open commitments by preparing regular and ad-hoc management reports.
Maintain updated databases of contracts and follow up on contract expirations, renewals, or closures as needed.
General Operations and Governance Support:
Ensures the timely and cost-effective provision of basic office services including space and facilities management, equipment, communications and security to enhance staff safety and productivity.
Maintains fiduciary integrity/responsibility for funds and assets.
Maintain hard and electronic files and update database systems ensuring timely and appropriate recording, safekeeping and disposal of confidential information.
Develop an efficient filing system to make updating and retrieving files easier, following policies and confidentiality dictations to safeguard data and information.
Organize paperwork according to the filing system and digitalize all important documents. Protect and update files as necessary.
Support initiatives for management improvement by capturing, institutionalizing and sharing best practices and lessons learned. Recommend improvements in processes and procedures to enhance productivity and performance including implementation of cost saving strategies.
Participate and/or organize training and learning events to build capacity of staff and stakeholders/partners.
Performs any other duties and responsibilities assigned as required.

Minimum requirements:
Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
Work Experience: A minimum of 6 years of relevant administrative or clerical work experience is required.
Language Requirements: Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

Job Title: Logistics Assistant

Program Description
Funded by the U.S. Agency for International Development and in close partnership with federal partners and select Nigeria States (designated as legacy [Bauchi and Sokoto], launching and technical assistance), the five-year Leveraging Education Assistance Resources in Nigeria (LEARN) project will support sustainable improvements in reading outcomes for first and second grade pupils.
The goal of LEARN is to strengthen and scale early grade reading (EGR) best practice by ensuring that standards-based, context-appropriate assessment, materials, training, and administrative supports needed to improve literacy skills for P1-2 pupils are embedded within the federal policy, funding, and monitoring frameworks, and state and local authorities have the implementation protocols, capacity, and resources to carry out and sustain standards-based, data-driven EGR reform.
The project objective is to instill ownership in and build capacity of school-community, local, state, and federal systems to establish a base for adequate, consistent data-driven funding, monitoring and performance that increase the equity, inclusion, and wellbeing necessary to achieve sustained EGR gains.
LEARN will therefore be building on lessons learned from prior Nigeria reading programs to introduce a flexible, cost- efficient EGR intervention model that can be tailored to state contexts.
Job Summary
The Logistics Assistant provides day-to-day support on project logistical needs which includes but not limited to the processes of transport of procured goods, ensuring coordinated movement of staff and supporting the Sr. Office Manager with managing vendors.
Primary Responsibilities
With support from the Sr. Office Manager, assist in coordinating project teams’ travel and activity requirement with vendors, travel agencies, car rental companies, hotels, and other suppliers.
Support with logistical arrangements for meetings and workshops. This includes but is not limited to preparation of training materials, request for workshop supplies, arrangement of travel and lodging accommodation of participant, as applicable and necessary.
With support from the Sr. Office Manager, assist with timely processing and payment of all staff travel claims, vendor and supplier payment and other transactions with Finance Unit.
Arrange airport pick-up and drop off for Local and International staff, STTAs, Consultant, ensuring the traveler has contact details for the driver who will pick them up, and international staff are given a working local phone, pre-loaded with key emergency contact numbers on arrival.
Support the Sr. Office Manager with managing vehicle movement in Abuja Office by coordinating vehicle movements based on work schedule of the Abuja based team and visiting team members to ensure all transport provisions required are efficient and effectively organized.
Assist the Sr. Office Manager to manage office vehicles and provide oversight on vehicle logs and maintenance as applicable.
Assist in monitoring diesel consumption of generator ensure diesel for generator is within buffer stock level.
Assist in monitoring and reporting generator preventive and maintenance due hours with a view to alert the service company.
Assist in the maintenance of office supplies and replenishment.
Support with collation and uploading of vehicle reports (log sheets, waivers, fuel coupons and daily vehicle check list), on SharePoint.
Support the conduct monthly Asset spot check and report monthly.
Support with regular stock checks and reconcile discrepancies.
Assist in optimizing inventory levels to meet demand while minimizing excess.
Support the Sr. Office Manager with label of assets and update of the assets inventory records.
Any other duties as may be assigned.
Minimum Required Education & Experience, Skills and Abilities
High School Diploma is required.
At least 1.5 years of prior work experience (+1 year of generalized work experience and including at least at least 6 months of specific experience relative to the position required).
Knowledgeable about USAID Rules and Regulations, previous experience working on USAID-funded projects preferred.
Knowledge of USG procurement rules and regulations.
Ability to use and manage tracking systems.
Excellent communication and interpersonal skills.
Excellent record keeping and documentation skills.
Proficiency with MS Office Suite including Excel and Word;
Advanced knowledge of Spoken and Written English required.
Strong organizational and multitasking skills.
Detail-oriented with a focus on accuracy.
