Job Summary
The Office Assistant supports the daily operations of the office by performing essential administrative and clerical tasks.
This role is responsible for maintaining a clean, organized, and efficient work environment, assisting with document management, and providing general support to ensure smooth office functionality.
Key Responsibilities
Administrative Support:
Greet and assist visitors, ensuring a welcoming and professional environment.
Assist in preparing and organizing office documents, forms, and reports as directed by the Administrative Officer.
Office Maintenance:
Maintain the cleanliness and organization of the office.
Monitor office supplies inventory and assist in reordering as necessary.
Ensure office equipmen is functional; report any issues to the Administrative Officer.
Assist with setting up meeting rooms and organizing refreshments for office events.
Document and File Management
Assist in maintaining physical and digital filing systems, ensuring information is organized and accessible.
Organize and archive documents as required for easy retrieval.
General Support:
Assist team members with errands, such as photocopying, mailing, and other office-related tasks.
Coordinate with vendors, service providers, and maintenance personnel as directed.
Support other departments with minor tasks and projects, ensuring smooth operations across the office.
Requirements and Qualifications
High School Certificate or equivalent.
Prior experience in an office setting is a plus.
Proficient in basic computer skills, including Microsoft Office (Word, Excel, Outlook).
Strong organizational and multitasking skills.
Good communication skills and a customer-service-oriented attitude.
Ability to work both independently and as part of a team.
